Services Provided to APA Divisions Through Central Office

Through the Executive Office

Office of General Counsel

  • Provides legal consultation to divisions, as well as legal review of division contracts and grants.

  • Provides director and officers insurance for division officers and volunteers. Amicus brief review (coordinates review process adopted by the Board of Directors).

Through the Governance Affairs Office

Division Services Office

  • Provides information/referral services for division officers, APA members, and the public through the Division Services Office; responds to questions regarding divisions (telephone, mail, and email).
  • Maintains listings for APA division officers and provides labels for division officers upon appropriate request.
  • Provides, with help of Financial Services and Management Information System, monthly reports on membership counts and payments.
  • Refers individuals to divisions; sends out information on divisions including membership and publication information, task force/committee reports, career/training information, etc.; distributes information prepared by divisions from the Division Services booth at convention.
  • Consults with division on policy questions regarding division bylaws/operating procedures and assists divisions with amendments to their bylaws.
  • Provides the APA/Division Dialogue, a bimonthly newsletter for division officers, the Divofficers listserv, and the annual Division Leadership Conference to facilitate communications between APA Central Office and the divisions as well as among divisions.
  • Provides information to divisions on cost-effective mailings; orders APA mailing labels.
  • Obtaining preferential mailing rates; obtaining information on cross-divisional committees; and creating a division directory.
  • Prepares camera-ready copy (using Pagemaker) for division letterhead, certificates of appreciation for officers/committee members, membership brochures, application forms, typesetting for plaques, bylaws ballots, division Fellow certificates.
  • Arranges for meeting space, catering, and hotel accommodations for division meetings held at APA's DC building or nearby hotels; provides beverages at division meetings held at the APA building (coffee/tea covered by OS budget); provides some staff support services to divisions meeting at the APA building.
  • Provides information and necessary paperwork for divisions wishing to establish listservs and a home page on the World Wide Web.
  • Provides agreed upon administrative services to divisions for a per hour fee--those services may include (1) maintaining the division affiliate database; (2) renewing division affiliates; (3) processing dues payments; (4) coordinating division mailings (including welcome letters); (5) preparing division correspondence related to membership/subscription activities; (6) responding to telephone, electronic mail, and mail requests for division membership applications and publication information, (7) creating a division directory of affiliates and members.   • Responds to requests for division membership information as a result of the division interest form sent by APA to members and student affiliates. Divisions 1, 5, 10, 13, 15, 16, 17, 19, 20, 21, 22, 24, 26, 32, 35, 37, 38, 40, 43, 44, 45, 46, 47, 48, 49, 50, 51, 52. (C)
  • Assists division president/secretary in setting the agenda for executive committee meetings; prepares agenda materials and distributes them to the executive committee; makes meeting arrangements for division executive committee and other meetings and workshops as needed.   • Attends meetings of the division as requested (division covers travel/per diem for staff attendance at meetings not held in Washington, DC or in conjunction with the APA annual convention). (C)
  • Prepares follow-up materials from division executive committee meetings and assists officers and primary committee chairs with follow-up activities; works with members of the division executive committee, as well as division committee and task force chairs, on committee-related activities/projects. Elections Office

  • Offers preparation, mailing, tabulation, and announcement of the results of the election of division officers and Council representatives. Divisions may handle officer elections on their own if they choose; Council representative elections must be handled by APA.

Through Central Programs

Center for Psychology Workforce Analysis and Research (CPWAR)

  • Provides statistical information on APA and divisional membership derived from the APA Member Directory Survey (division profiles).
  • Provides mailing labels for APA/division members based on selection criteria included in the APA Member Directory Survey.
  • Provides technical assistance to divisions conducting their own surveys and other information collection efforts, including targeted samples for mailing labels.
  • Provides graduate department labels for use in surveying departments.

Convention Office

  • Provides the forum of the annual convention for division offerings, coordinates meeting arrangements, and allocates program hours to divisions. APA also provides assistance with arrangements for division pre-convention workshops and hospitality suites.

Through Public and Member Communications

Membership Development/Service Center Operations

  • Allocates $2.00 from APA membership dues for one division. Additional division dues are charged to the member at $2.00 per division. All division assessments are paid by the member. Membership Services coordinates dues/assessment collection for all divisions which opt for this service and tracks APA members' division(s) memberships on the APA database.
  • Acts as intermediary in the election process for new Members and Fellows of divisions and maintains and updates division member records.
  • Facilitates recruitment of APA members and student affiliates to divisions through the division interest form that is included in the annual dues billing and new member packet. APA also facilitates retention activities by divisions by offering lists and labels of their unpaid members and sends postcards to unpaid division members on behalf of the division at no charge to the division.
Public Affairs/Editorial and Design Services

  • Provides media training and consultation
  • Offers editorial and design services for logos, stationery, newsletter masthead, brochures, etc.

Through the Publications and Communications Office

  • Provides publications liability coverage for division journals and newsletters.

Journals Office

  • Publishes the following APA division journals: 1, 5, 10, 13, 16, 18, 20, 21, 22, 26, 29, 38, 39, 45, 49, 50, 51. (C)
  • Has bulk APA journal subscription deals that are separate from a publishing contract:: 5, 20, 21, 39. (C)
  • Subsidized the cost of administrative services for Division 26 for one year (1998) in order to get the division's new journal off to a good start.

Financial Services

  • Handles billing and collection of division dues and assessments for divisions which opt for this service. APA sends monthly income statements to all divisions for which it collects dues/assessments.

  • Offers optional bookkeeping/accounting and investment services to divisions.
  • Sends end-of-year income statements to all divisions.
  • Consultation on tax status and income tax filing to all divisions.
  • Completes (with division-provided information) the group tax-exemption application for participating divisions.

Grants and Contract Services

  • Provides assistance with publishing contracts, and copyright and permission practices for division journals.

Administrative Services

  • Free estimates for printing/mailing jobs.
  • No charge for APA logo envelopes.
  • Meeting/conference space at the APA building.
  • Beverages, food set-up, and housekeeping services at APA Building.

Management Information System

  • Provides divisions with free division membership lists and labels.
  • Provides computer hardware/software and technical assistance/support for division listservs and homepages. For the latter, APA provides one login ID and password to each division requesting the service and up to 20mb of disk storage for the content. The division is responsible for development and maintenance of the content.

Through the Public Interest Directorate

Child, Youth and Family Services Office

  • Provides limited meeting-related costs for division liaisons attending meetings including APA convention in the PI hospitality suite. Divisions 7, 16, 27, 37, 43, 53, 54.

Women’s Program Office

  • Disseminates some Division 35 work products.
  • APA staff attends Division 35 activities and meetings as liaison
  • Division 35 representative attends Committee on Women in Psychology and CWP Network meetings (staffed by WPO) as liaison.
  • Administers HIV/AIDS Prevention Small Grant for Division 35 Section on the Psychology of Black Women

Office on Lesbian, Gay and Bisexual Concerns

  • Disseminates some Division 44 work products.
  • Collaborates with the Division on projects.
  • APA staff attends Division 44 activities as liaison.

Office on Ethnic Minority Concerns

  • Disseminates some Division 45 work products.

  • Provides some meeting-related expenses for Division 45 liaison/representative attending APA-sponsored meetings.
  • APA staff may attend Division 45 activities as liaison.
  • Provide consultation regarding issues of diversity within a division.
  • Routinely provide information to chairs of Division Committees of Ethnic Minority Affairs.
  • Provide labels of ethnic minority members of divisions.
  • Fund innovative initiatives related to minority recruitment, retention and training through the CEMRRAT implementation grant program
