- Intermediate skills using MS Word, Excel, Power Point, and Outlook
- Strong interpersonal and telephone skills
- Excellent organizational skills, and the ability to handle multiple tasks
- Ability to take initiative in developing, prioritizing and implementing
a wide range of projects
- Strong writing and proofreading skills
Description:
- Provides direct support to the Executive Director (ED) and to the Deputy
Executive Director (Deputy ED). Maintains the Executive Director’s and Deputy
Executive Director’s calendars and travel schedules in coordination with other
staff. Creates itineraries, makes travel arrangements, and completes reimbursement
forms for ED and Deputy ED. Processes mail and manages office inventory and
supplies. Maintains, for both the ED and Deputy ED, professional and accessible
electronic and paper filing systems, including regular archiving of critical
documents.
- Manages the Executive Director’s electronic and paper correspondence tracking
system for both the C3 and C6 organizations. Triages all forms of information
requests to the ED and DED from internal and external sources including letters,
E-mail, and phone calls. Responds independently to routine requests and directs
more specific inquiries to appropriate person or department. Drafts written
and electronic correspondence as requested.
- Coordinates and supports meetings of the Practice Executive Office such
as all staff meetings, AED senior staff meetings, conference calls and special
projects such as the annual VA Leadership Conference. Responsibilities include
working with the APA Convention Office on hotel and meeting arrangements,
preparing draft minutes and follow-up. • Assists the ED and DED in completing
various research functions including internet, library and literature searches;
preparation of slide presentations, typing and preparation of reports, manuscripts,
memoranda and other documents.
- Provides financial processing support for the directorate, including triaging
financial documents for approval by the ED and/or DED, maintaining the flow
of all financial documents from the directorate to the APA Finance Department,
and bookkeeping functions for two of the Executive Office’s financial programs
(23812 and 27000).
